How do I know the Managed Payroll service offered by InTIME is secure and confidential? All of our data is backed up and secured offsite. We pay an awful lot of money to a professional data security firm every year to ensure that your data (and ours!) is safe. TimesheetsHow does InTIME deal with timesheets from different weeks (e.g. W/E 23/07/2006 and W/E 16/07/2006)? InTIME allows the worker to create timesheets for any week of their placement, which can be modified at any time prior to submitting. How does a consultant keep track of their candidates' timesheets using InTIME? When a consultant logs in, they can view details of all of their placements, as well as all the timesheets attached to them. The consultant is also able to view the details of the workers and managers involved in the placement. Do you still need to chase managers by telephone to get them to authorise timesheets? No. Every time a worker submits a timesheet, InTIME will send an email and/or SMS text message to theirmanager. Reminder or chase messages will also be sent if the manager does not approve a timesheet after a predefined length of time. Can I keep the data input solely in my payroll department and not allow my consultants to edit or input data? InTIME has very flexible user access profiles that can allow or prevent workers, managers and consultants from changing data within InTIME. Will InTIME be able to notify Limited Company Providers of payments to be made to them each week? If required, it is possible for InTIME to notify Limited Company Providers of any payments to be made. Will InTIME allow my clients to see how many hours a candidate has worked? Yes. InTIME provides a vast amount of information to clients (if required), such as hours worked, holiday entitlement and sick days. Can my candidate input holiday they wish to take, using InTIME? Yes, via a special Holiday pay and charge rate. The candidate needs to have accrued enough holiday before doing this. If the manager cannot authorise the timesheet on the work computer, can they authorise from a different computer with internet access? Yes. As long as a computer has internet access and a web browser, they can access InTIME anywhere, even in another country. Does InTIME have user guides built into its software? InTIME features context sensitive help, providing information about all the pages, views and fields, and downloadable manuals for workers, managers, consultants and even system administrators. Can InTIME handle candidates who need to be paid at different rates according to the time of day that they have worked? Via InTIME's automatic rate selection, rules can be created to assign hours to different rates. For example, a rule could be created for an Overtime rate for hours worked that take place after 6pm weekdays and all day Saturday. If the manager does not like using the internet, how can I still get them to approve my InTIME timesheet? Managers are able to approve timesheets via a touchtone telephone and via a specially designed fax approval form. How can I assure my client that InTIME is safe to use, internet hackers being a worry these days? InTIME is protected by industry standard 128 bit SSL security. This encrypts any information sent to and from the InTIME service. Also, all users have their own username, password and PIN code. How does the manager get alerted that the candidate has submitted a timesheet, when the manager is out of the office? InTIME sends reminders and alerts via email and SMS text message, so is ideal if your manager is out of the office. Can InTIME stop my worker putting in more than 24 hours a day? All data entry is subject to strict validation controls that check what a user enters into the system. Does InTIME have controls regarding the Working Time Directive? Yes. InTIME provides comprehensive controls and information about many aspects of the Working Time Directive, so it is easy to see when a worker has reached their legal limit for hours worked. Will InTIME link in with my Sage Payroll and Sage Accounts systems? InTIME is capable of interfacing with many front and back office software, including Sage Payroll, Sage Accounts and Tempaid. Can InTIME design bespoke reports for my business? Yes. InTIME features a flexible reporting engine that can be customised to produce almost any required report. All reports can be viewed as HTML, PDF or spreadsheet formats. User name and password not working? Can you reset it please? Yes. An InTIME Administrator can reset a user's password. The new password is emailed directly to the worker or manager. What about invoices? My manager has to have a copy of the timesheet with the invoice? InTIME can provide a printed report, which contains both timesheets and invoices collated together for ease. Can InTIME handle linking into my Tempaid job code structure, so I can produce invoices in my format? Yes. As long as the job codes match in both InTIME and Tempaid, full integration is possible. I have submitted my timesheet but have realised that the hours are wrong, how do I change it? If the hours entered are incorrect, the manager can reject the timesheet. It will then appear back in your Drafts section. What do I do when my manager is on holiday? InTIME supports Alternative Managers, who are users with the ability to authorise timesheets, in case the primary manager is unavailable. How do I know if it has been approved? Approved timesheets simply appear in the Approved section of the worker's account. Any rejected timesheets appear in the Rejected area with a comment from the manager explaining the rejection. |
